In PBX you can use Media file to store and transmit audio, speech or text to speech content.

Introduction to Media

Access the Media menu

  • Log into PBX Dashboard
  • Go to ‘’Settings’’
  • Select ‘’Media files’’ from the drop down menu

Click on ‘’Add Media’’
Complete the form by following the next steps:

How to use
Name
This is where you type the name of the media file you are adding. It helps in identifying and organizing the media within the system.
Type in the name that you want and press ENTER.
Description Field
Here you can provide a more detailed description of the media file. This is particularly useful for clarifying the purpose or content of the file, especially if the name itself is not fully descriptive.
Type in the description you want and press ENTER.
Labels
This section allows you to attach tags to the media file. Tags help in categorizing and searching for media files within the system, making them easier to find and use in various contexts.
Click in the box, type a tag, and press Enter. You can add multiple tags according to your needs.
File Section (Choose File and Browse Button)
This area is used to upload the actual media file from your computer. "Choose File" shows the selected file, and "Browse" allows you to navigate your file system to select a file.
To use this, click on "Browse," select the file from your computer, and it will appear in the "Choose File" box once selected.
Save and Cancel
These buttons affect the changes you made.
Click SAVE if you want to apply the changes or CANCEL if you changed your mind.


Speech tab

Name
This field is where you enter the name of the media file. It's used to identify the file within the system.
Click in the box and type in the name you want.
Description Field
This allows you to add a detailed description of the media file.
Just type in the description you want and press ENTER.
Labels
Here, you can add tags to the media file to help categorize and locate the file within the system more easily. Tags can be related to the content, context, or any other relevant identifier.
Click in the box, type a tag, and press Enter to add it.
File Section
This area shows the file that is currently selected or being uploaded
Click on Browse to be able to upload the file that you want. Record button allows you to record audio directly within the interface.


Text to speech tab

For the Text to Speech option you will have similar fields as the previous entries. The only difference is that you have to:
  • Select language: This dropdown menu lets you select the language in which the text will be converted into speech. It ensures that the pronunciation and intonation are correct for the selected language. To use it, click the dropdown and select the appropriate language.

  • Select voice: This dropdown allows you to choose the voice that will read the text aloud. Different voices can be used to match the desired tone or audience of the speech. Click the dropdown and choose from the available voice options.

  • Content Box: This is where you type the text that you want to convert into speech. This text will be processed by the Text to Speech engine to create an audio file. To use it, click in the box and type or paste the text you want to be spoken.

1. Voicemail Greeting:
Scenario: Your business receives calls after hours or during times when staff cannot answer immediately.
Solution: A professional voicemail greeting is recorded and set up to play automatically when calls go unanswered. This reassures callers that their message will be received and addressed promptly.

2. On-Hold Music and Messages:
Scenario: Callers frequently need to wait on hold, which can lead to frustration and potential hang-ups.
Solution: Engaging on-hold music and informative messages are used to enhance the caller's experience. These media files keep the caller engaged and informed about new products, services, or changes while they wait, reducing perceived wait time and improving satisfaction.

3. Emergency Notifications:
Scenario: There is a need to quickly disseminate information during critical situations to all stakeholders.
Solution: Pre-recorded emergency messages are set up to be broadcasted instantly across PBX system. This ensures that all employees, customers, or visitors receive timely and consistent instructions or updates during emergencies.
